Policies

Cancellation Policy: All cancellations must be received in writing. Refunds will be given only for cancellations received six weeks before the beginning date of this conference, less any credit-card processing fees plus a $100 cancellation service charge. No refunds of any kind will be made after this date. Students and/or advisors who register but do not attend the conference are responsible for and are required to pay the entire registration fee, but name changes and additions to your list of registrants may be made at any time. ASGA will issue a full purchase-price credit for a future conference of the same or lesser value or ASGA membership renewal, minus a $150 late cancel fee, to any institution unable to participate in a virtual event for just cause, provided ASGA is notified in writing 48 hours before the start of the scheduled event.

Accessibility & Special Accommodations: ASGA is committed to providing an accessible experience for all attendees. To help us ensure equal access while managing a multi-track environment, we request that any attendee requiring auxiliary aids or services (such as American Sign Language interpreters or real-time captioning) contact us at conferences@asgaonline.com at least six weeks prior to the conference start date.

Because our event features five concurrent workshops in rooms without built-in sound systems, we highly recommend utilizing our Wireless Microphone & Real-Time Captioning Option. Under this program, ASGA will provide a high-quality wireless clip-on microphone for our speakers to wear, which streams clear audio directly into a real-time speech-to-text app (such as Ava or Otter.ai) on the attendee’s personal phone or tablet. This option completely bypasses room echo, provides rolling text, and allows the attendee to seamlessly jump between any concurrent workshop track without delay.

For attendees who require on-site American Sign Language (ASL) interpreting, please note that due to logistical constraints across five concurrent rooms, we require you to coordinate your intended session schedule with us by the six-week deadline so we can secure and assign a dedicated roaming interpreter team to accompany you. While we will make every reasonable effort to accommodate requests received after the six-week deadline, we cannot guarantee vendor availability or scheduling for late requests.

Responsibility/Liability: The American Student Government Association (ASGA), the conference host, and any other conference partners or suppliers will not have any responsibility or liability for personal injury incurred while traveling to and from ASGA’s Spring Virtual Conference or at any time on the conference site(s). ASGA and the conference host will not have responsibility or liability for any actions of any companies that are directly or indirectly involved with the conference. Any video, audio, or photographs taken of our students and/or advisors may be used by ASGA for future promotional purposes.

Force Majeure: Failure of ASGA to perform any of the provisions of this Agreement by reason of any of the following shall not constitute an event of default or breach of this Agreement: strikes, picket lines, boycott efforts, fires, floods, accidents, war (whether or not declared), revolution, riots, insurrections, terrorism, acts of God, acts of government (including without limitation any agency or department of the United States of America), acts of the public enemy, scarcity or rationing of gasoline or other fuel or vital products, inability to obtain materials or labor, or other causes which are reasonably beyond the control of the defaulting Party.
